Although it is also true that it’s just a document that will let the client know about how much money he needs to pay you but that’s just not enough. What a Web Design Invoice should include?

  • Complete name and address of the client
  • Complete name of the designer along with company name
  • Important dates and reference numbers i.e. invoice reference number, date on which you sent the invoice etc.
  • Complete details of all the services you provided to the client (if multiple, make bullet points)
  • Cost for each service and total amount at the end
  • Specific terms and conditions i.e. requirement for receipt of invoice or method of payment i.e. cash or check etc.
  • Greetings and your signature at the end

  • The most important thing about an Invoice is the details of the client and the sender i.e. service provider. Start with putting your company name and logo at the top of the document as this makes it official and more formal. After that, put the name of the client and his company name and if you don’t know who to address, just include the company name.
  • Clearly mention the reference number of the invoice and purchase order on the document. This way if the client has assigned more than one projects, he will track you instantly with the reference number.
  • Mention the date on which you received the project from the client along with the date on which you prepared the invoice.
  • After that, here comes the main body of the invoice. At this stage, you need to be very brief and concise at the same time. Make a list of all the services you provided to the client and include them on the invoice one by one.
  • Now comes the most important element of an invoice; the money and payment details. This part of the invoice should include how much each service costed and how much the client actually owes you. You can either put price for each service in front of it or you can just add a lump sum amount at the end.
  • Clearly instruct the client about what you want him to do i.e. notify you when he receives the invoice or method of payment i.e. amount of each installment and if you want to receive in cash or check.
  • At the end, put your full name and sign below it. Greet the client with some pleasant note and close the invoice.
